Conditions of the WAY-Plan contract

You can view a complete demonstration in the online demonstration, and ask if needed specific questions to our consultants. When you are decided to contract with us, just follow the online process to confirm the offer you need, and sign online your contract.

Your software will be installed and configured within 5 days.

Subscribing to WAY-Plan allows you to benefit from many other services than a simple software.

Whatever the reason for your termination (stop your activity, other …) the WAY-Plan contract is with no time commitment.

After receiving your request, which you can send us by email or by post, we will immediately take it into account and close your contract for the date of your choice. The current month is billed as usual, no other fees are to be expected.

This way you can organize and retrieve your data at your own pace.

WAY-Plan allows you to manage several legal entities, or several brands, with one contract and one software.

Everything has been designed to manage all your activities in a single WAY-Plan:

  • each entity displays its own business letterhead on its estimates and invoices (logo and legal mentions)
  • each entity can configure its own price lists
  • each entity has its own invoice numbering WAY-Plan allows you to set the numbering of your invoices according to the desired format

We have customers in many countries: USA, Europe, Asia, United Kingdom, and more … All the necessary adjustments are made in the software so that the particularities of the invoicing country are applied: currency, specific VAT rates, display of information… On the installation and training side, we have all the necessary tools to train your team remotely.

Security and confidentiality of your data

Every 4 hours, a file in Excel format is sent to you by automatic email on the email address of your choice.
This file contains your schedule for the day and the next two days, so you can continue to work even if the server fails, a rare event but one that we can’t ignore, or if you no longer have an Internet connection.

Our servers are hosted in datacenters that benefit from the latest technological innovations that are economical, ecological and secure.

For the hosting of your most valuable data, we have chosen quality:

  • choice of the most efficient infrastructures and optimal server availability,
  • multiple security features in the datacenter,
  • impeccable quality of service, even on weekends.


The daily backup of data allows us to restore them in your management software on request.

Your user access is personal: each employee has his own login and password that he defines at the time of his first connection. Your WAY-Plan trainer will inform you of the usual security rules, i.e. as far as possible :

  • mix lower case, upper case, special characters and numbers.
  • choose a unique password, which you will use only for WAY-Plan.


Each employee’s password is encrypted so that no one can decrypt it, even another user of the same platform.

Several exports are available in WAY-Plan.

WAY-Plan allows you to export a large part of your data:

  • Excel export of the list of jobs between two dates, by driver or by customer, by type of vehicle, etc.
  • Excel export of driver data : working hours, number of days worked, purchase price of services, etc.
  • Excel or PDF export of the personnel register updated in real time

The temporary drivers also use your mobile driver application, everything has been designed to optimize communicationwhile limiting the risks of the confidentiality of your customers’ data.

About the confidentiality of your customers’ data.

The WAY-D mobile application does not keep any data once the mission is completed by your driver. Thus, the driver can see before and during the mission the information necessary for the good execution of his mission, but once this is done, the driver can no longer access the history of the data concerning the clients he has served.

Multi-stage is one of the features provided by WAY-Plan.

A mission may contain a starting point, an ending point and several intermediate steps.

In WAY-Plan, you can:

  • Prepare and save your itineraries
  • Manage the presence of passengers at each stage

 

  • Send the mission with the details of each step to the driver: who rides where?
  • Allow the driver to declare the presence of passengers at each stage
  • Retrieve passenger attendance information: were they all present? Was there a no-show?
  • Pass on information to billing

WAY-Plan’s planning is designed to manage all your drivers: in-house or outsourced.

With the Visual Limo module, you will be able to plan :

  • your internal drivers, whatever their status: permanent, fixed-term, extra with pre-defined periods of presence
  • subcontracted drivers with precise reporting of all the missions you have entrusted to them: over a given period, for a given customer, etc.


You will be able to provide your subcontracted drivers with your Mobile Driver Space for :

  • retrieve their mission sheets
  • indicate the progress of the missions they will carry out on your behalf.
WAY-Plan is not a payment terminal, but your driver can report each cashout made on board the vehicle, from his mobile space. This way, your payment follow-up is up to date: you know what remains to be collected and what has already been paid by your customers.
Do you use Plateform applications as Uber? You can include the turnover realized via these platforms directly in your WAY-Plan to analyze the global activity of your activity: turnover of your direct customers and turnover of the customers coming from the booking centers. Your WAY-Plan trainer will guide you through the process.

Using the WAY-D driver application

So, whether you have an Android or iOS cell phone or touch tablet, the WAY-D mobile app can be downloaded from the stores.

A web version is also accessible from the phone’s internet browser, without the need to download.

Your drivers’ mobile app has 2 main purposes:

  • always have the details of the missions your drivers are in charge of at hand
  • allow them to track the progress of their missions: working hours, kilometers travelled, expenses incurred, etc.


On their mobile app, drivers also have access to advance booking credentials to pass boer checks.

On your side, you visualize in real time where your drivers are in their missions of the day:

  • arrived at the customer’s premises on time?
  • was there any particular comment on the conduct of the mission?


In addition, the mobile application brings up in your administrative management all the information on the working hours of your drivers…which makes payroll management easier!

The temporary drivers also use your mobile driver application, everything has been designed to optimize communication while limiting the risks of the confidentiality of your customers’ data.

About the confidentiality of your customers’ data.

The WAY-D mobile application does not keep any data once the mission is completed by your driver. The WAY-D mobile application is connected to Google Calendar: the driver enters the login details without the WAY-Plan employee being able to see them.

From now on, your drivers will be able to visualize the errands you entrust them with, in their Google or Outlook schedule, and manage their entire schedule in the same workspace.

Use of WAY-Plan on the move

For the use in mobility, 2 possibilities are offered to you:

  • Use your usual management application. Some of our customers use WAY-Plan very well on their touch tablets, even if the graphics are not optimal on this format
  • Use Mobilimo, the mobile version of the software!


Accessible from the internet browser of your device, Smartphone or Touch Tablet, Mobilimo allows you to have your schedule in your pocket at all times.

The main actions of planning management are developed there:

  • view your missions for the day and the following days
  • enter a new reservation request
  • plan your driver on a mission
  • modify a mission already entered on your general planning


The real asset of Mobilimo is the possibility to work even when your mobile is not connected to the network. Your actions will then be stored in the phone’s memory to be sent to your general planning as soon as you enter a connection zone.

Mobilimo and the mobile driver application work even without an internet connection.

How does it work?
All the data is stored locally, in your smartphone or tablet, and you can perform the usual operations.

When you regain an internet connection, all recorded data is synchronized.

WAY-Plan is not a payment terminal, but your driver can report each cashout made on board the vehicle, from his mobile space.

This way, your payment follow-up is up to date: you know what remains to be collected and what has already been paid by your customers.

Invoices and estimates with WAY-Plan

It is possible, under specific conditions, to modify an invoice.

WAY-Plan allows you to modify invoices, but this functionality is only accessible to employees authorized to perform this type of operation. Of course it is not recommended to modify invoices, especially if they have been sent to the concerned customers or exported to the accounting system.

It is worth noting that WAY-Plan allows you to create credit notes from any invoice, very simply, and in compliance with accounting procedures.

There are 3 invoice templates available in the WAY-Plan invoice management.

You can also ask us to develop a custom one for your company. It will then be established according to their specific constraints…

The 3 available main templates are :

  • the detailed invoice
  • the “grouped + detail” invoice which summarizes the missions according to their common characteristics on the main page and displays the details in the appendix
  • the “grouped invoice without details” which will not display the details of the bids in appendices


We will adapt your WAY-Plan to your billing specifications if you have any, for examples:

  • display a customer reference
  • display a supplier reference
  • grouping missions by cost center reference
  • adapt the invoice graphically

The link with your accounting software is possible via the setup of a specific export of the invoicing realized in WAY-Plan.

Our teams are in charge of the parameterization, directly in connection with your accountant. The extracted document will contain precisely the accounting codes that you usually use and will facilitate the work of your accountant.
